Bookwise – The Payroll Bureau selects Albany Software to facilitate high volume payroll runs
Payroll bureau Bookwise has ‘gone-live’ with an intuitive bureau solution from pioneering developer of electronic payment solutions, Albany Software. Cornwall-based Bookwise selected the all-encompassing payments tool from Albany as the perfect fit to suit its bureau business processes. The Albany solution assists Bookwise in managing its 500 nationwide clients and processing 20,000 salary payments a month, saving valuable time and resources by reducing manual processes and subsequently increasing efficiencies.
Bookwise payroll service is all-inclusive, incorporating all aspects of PAYE, ancillary payroll and personnel functions to companies large and small across the UK. Fifteen years ago Bookwise was established as a payroll bureau and became fully certified by Bacs as an approved bureau six years ago. The Bacs-approved Bureaux Scheme assesses the technical competence and operational integrity of a bureau.
Having discovered that its previous third-party payment software could not provide the functionality needed for the Bacs-approved payroll bureau, Bookwise looked elsewhere for a solution. Simon Bird, Founding Partner at Bookwise, comments, “We selected the Albany Software solution because it is fully compliant and tailored specifically for the use of a bureau organisation, enabling bureaux to deliver a robust and reliable service to their clients. We are essentially acting as an organisation’s payroll department, so it is integral that we pay people’s wages on time and keep our clients’ employees happy. The solution is user-friendly, transparent and provides unlimited user-numbers which can be adapted to facilitate future business growth.”
The Albany Software bureau solution brings central control and visibility of funds transfers direct to the desktop, enabling numerous departments to connect to one central solution, streamlining submissions and maintaining centralised management of transactions. Bird explains, “It is significantly straightforward to create and submit multiple payment files to Bacs in one go using the Albany solution. No longer are we limited by the number of submissions we can make. The solution provides us with full management and visibility of customers' Bacs submissions. Furthermore, online reporting within the software delivers instant confirmation that payroll transactions have been completed successfully. This is an extremely resourceful solution that saves Bookwise up to a quarter of an employee’s time per month, allowing staff to focus on other business-critical tasks.”
The comprehensive reporting functions, multi-user access and hierarchical permissions structure of the Albany bureau solution provide remarkable levels of control and visibility for bureaux. The product seamlessly integrates with most ERP and accounting software and provides a plethora of management tools to help bureaux manage their customers’ expectations. The solution enables bureaux to maintain a watchful eye over all Bacs payments.
Simon Bird also invested in Disaster Recovery software from Albany Software, ensuring that the Bookwise’s critical data is securely protected. He comments, “As a payroll bureau, secure and reliable IT is very important to us and it is imperative we have a proven disaster recovery strategy in place. Albany Software’s support team installed the software onto my laptop so that if ever there is a power surge, or there is nobody on site to make a transmission, I can simply access the system remotely and carry out whatever is required.”
Simon Bird concludes, “We are extremely pleased with the Albany Software product and the sales representatives are extremely knowledgeable and professional in their approach. As a bureau, we required a vendor who understood the proficient payroll service we supply to the companies we act on behalf of. Albany certainly appreciates the intricacies of our business and provides us with a trusted solution that allows us to deliver an accurate and efficient service to our clients.”
